Application, cancellation and the attendance rules

TERMS AND CONDITIONS

These Terms and Conditions shall apply to the purchase of tickets/participation rights for the conference and receptions (hereinafter collectively referred to as the “Event”) organized by the Business Council for Sustainable Development in Hungary (registered office: 1118 Budapest, Ménesi út 9/a, email: cehotspotbudapest@bcsdh.hu, hereinafter: the “Organizer”), as well as to the participation of persons purchasing tickets (hereinafter: the “Ticket Purchaser”) and persons attending the Event (hereinafter: the “Visitor”).

The parties may deviate from these Terms and Conditions only by mutual written agreement. In matters not regulated in such agreement, these Terms shall apply. By purchasing a ticket or registering for the Event, the Visitor accepts these Terms as binding.


1. Registration, Payment and Cancellation Terms

1.1 A prerequisite for purchasing a ticket to the Event is online registration via the Organizer’s website or the relevant Event microsite, providing accurate and truthful data, and acknowledging and accepting these Terms and the Organizer’s Privacy Notice.
Following online registration, the registrant may choose to settle the participation fee either by credit card payment or by bank transfer.

In the case of credit card payment, the system will automatically redirect the registrant to the credit card payment interface of the Organizer’s financial partner, where payment can be completed after entering the required data.

If the registrant opts for payment by bank transfer, the Organizer shall send a confirmation email regarding the successful registration to the email address provided during registration, which includes the necessary bank transfer details.

1.2 If the Ticket Purchaser chooses payment by bank transfer, they are obliged to settle the participation fee within 7 working days from the date of the confirmation email referred to in Section 1.1 by transferring the amount to the bank account specified therein.

1.3 No later than the working day following confirmation of credit card payment or receipt of the transferred amount in the Organizer’s bank account as referred to in Section 1.2, the Organizer shall send the electronic participation ticket and the invoice for the paid participation fee to the email address provided during registration.

1.4 Online registration for the Event as described in Section 1.1 constitutes a payment obligation. Following registration, the Organizer does not accept cancellations and tickets are non-refundable. The participation fee must therefore be paid even in case of non-attendance. The participation ticket may be transferred to another person only after full payment of the participation fee.

1.5 The Business Council for Sustainable Development in Hungary reserves the right to modify participation fees until the start of the Event.
In the case of group ticket purchases, discounts can only be granted if the same person orders and pays for the number of tickets required for the group discount within a single registration for the same Event.

1.6 The Organizer reserves the right to modify the date of the Event. In case of such modification, Ticket Purchasers shall be informed in due time. Purchased and paid tickets remain valid for the new date or may be transferred if the new date is not suitable.

1.7 If the Event cannot be held at the scheduled time due to legal or regulatory restrictions or other external circumstances beyond the parties’ control, the Organizer shall hold the Event as an online conference. The participation fee for the online conference shall be 40% of the original participation fee. Any amount exceeding this shall be refunded by the Organizer within 20 days of announcing the decision to hold the Event online. No further refunds shall be made beyond those specified herein, even in the case of date modification or conversion to an online format.

1.8 For contracts concluded under these Terms, the time of communication of any statement made electronically shall be:
a) in the case of statements made by the Organizer: the timestamp recorded in the Organizer’s IT system for the sending of the email containing the statement;
b) in the case of statements made by the contracting party via the Organizer’s web interface: the timestamp recorded in the Organizer’s IT system for the submission of the statement.

The Organizer does not archive contracts concluded via its web interface. Such contracts shall not be considered as written agreements and shall be concluded in Hungarian.

1.9 The subject of contracts concluded via the web interface is the purchase of a ticket granting access to the Organizer’s Event at a specified time. Accordingly, pursuant to Sections 29(1)(a) and (l) of Government Decree 45/2014 (II.26.), consumers do not have the right of withdrawal under Section 20 of the same decree.


2. Participation Terms

2.1 The Visitor shall comply with the house rules and entry regulations of the venue hosting the Event, as well as the participation rules set out in these Terms.

2.2 Entry to the Event shall only be possible at the designated entry points defined by the Organizer and within the timeframes and conditions specified by the ticket.

2.3 The Organizer reserves the right, depending on the prevailing public health situation, to:
a) install sanitization points and require their use,
b) require participants to wear masks,
c) measure body temperature,
d) deny entry or require departure from the Event for persons failing to comply with points a) or b), or whose body temperature exceeds 37.0°C, even if they possess a valid ticket.

If entry is denied due to body temperature exceeding 37.0°C, the Organizer shall refund the ticket price within 15 days to the account used for payment.
In cases of non-compliance with points a) or b), Section 2.7 shall apply.

2.4 Participation in the Event requires a valid ticket or registration. One ticket/registration entitles one person to enter. Used tickets/registrations are non-transferable.

2.5 Visitors must comply with the instructions of the Organizer and event staff. The Organizer excludes liability for consequences arising from non-compliance.

2.6 Visitors shall behave in accordance with general norms of conduct and applicable legal regulations, and must refrain from any behavior that may harm others or disrupt the Event. Contributions during the Event may only be made with the permission of the moderator and within the allocated time.

2.7 In the event of violation of participation rules or venue regulations, the Organizer or its subcontractor responsible for maintaining order may deny entry or remove the Visitor from the Event without refund or compensation.

2.8 Recording or broadcasting the Event is prohibited without the Organizer’s prior written consent.

2.9 The Visitor acknowledges that audio and visual recordings may be made and the Event may be broadcast. By entering the Event, the Visitor consents to being recorded and to the use of such recordings, and accepts that the Organizer bears no liability in this regard.

2.10 Personal data processing is governed by the Organizer’s Privacy Notice:

Data processing includes:
a) registration-related data processing,
b) photo and video recordings,
c) attendance sheets,
d) badge printing (name, company, position),
e) speaker data management,
f) complaint handling,
g) invoicing,
h) newsletter services.

By providing personal data, the Visitor consents to processing as described.

2.11 The Organizer reserves the right to change the program.

2.12 If the Event is held online, the Organizer shall inform the Visitor of the platform in advance. The Visitor is responsible for ensuring technical requirements.

2.13 The Organizer is not liable if the Visitor cannot join or fully participate in the online Event due to technical issues. No refund shall be provided in such cases.


3. Final Provisions

3.1 The contract between the parties is for a fixed term and terminates upon mutual performance (payment, ticket delivery, and completion of the Event).

3.2 The Organizer is not subject to any code of conduct under consumer protection law.

3.4 In order to settle disputes out of court, the Ticket Purchaser may initiate proceedings with the competent conciliation body:
